Department of Climate Change, Energy, the Environment and Water (DCCEEW) continues IT transformation, leveraging Kapish’s Content Manager Cloud.

As part of an ongoing program of works to establish it’s own technology environment, DCCEEW has signed a contract with information management specialists Kapish. The Department of Agriculture, Fisheries and Forestry (DAFF) has been providing “core ICT services” to DCCEEW and its 4400 staff and contractors. In June 2023, DCCEEW informed DAFF that it will seek to establish its own ICT arrangements, transitioning away from the current shared services arrangement.

Kapish’s Content Manager Cloud service is the only platform proven to support large (5,000 users, >1TB database) customers – with DCCEEW joining other large users such as CSIRO, ACT Government & Brisbane City Council.

DCCEEW has a key requirement to migrate their vital records from the DAFF shared service into Kapish’s cloud within a tight 8-week window. Kapish has demonstrated capability to support a rapid transition to it’s secure cloud having completed a similar project for the National Anti-Corruption Commission and several Victorian Government agencies.

DCCEEW was established on 1 July 2022, superseding the water and environment functions from the Department of Agriculture, Water and the Environment and energy functions from the Department of Industry, Science, Energy and Resources. DCCEEW drives Australian climate action, transforms Australia’s energy system to support net zero emissions while maintaining its affordability, security and reliability, conserves, protects and sustainably manages our environment and water, protects our cultural heritage and contributes to international progress on these issues.

DCCEEW joins the National Anti-Corruption Commission, Australian Sports Commission, Austrade & CSIRO in purchasing Kapish Content Manager Cloud through the DTA Cloud Marketplace.

We are excited to announce that our customer, the NSW Department of Education, has been named a finalist for the Best Run SAP Award for ANZ 2024, recognising their outstanding achievements in innovation in optimising business processes and improving operational efficiency.

The NSW Department of Education is responsible for delivering and coordinating education services in New South Wales, Australia. From early childhood to vocational training, they champion public education and nurture lifelong learning. They support young children through early childhood education and care, regulate schools, and provide opportunities for all students.

The Journey to Excellence

The NSW Department of Education embarked on a transformative journey to centralise their disparate sources of information, and create a cohesive IT strategy. Faced with challenges such as disconnected repositories and inefficient IT spending, they sought to refresh their digital strategy to better support students and teachers.

Our Role

By leveraging SAP LeanIX solutions, SAP Signavio Process Manager, and SAP Signavio Process Governance solutions, we provided the NSW Department of Education with a unified view to clearly articulate their business strategy with IT and processes. This integration enabled them to consolidate information, reduce IT spending, and improve decision-making.

The Impact

The consolidated IT landscape allowed for better management of IT service lifecycles and alignment of projects. Kapish is excited to sign a 3-year contract with the National Anti-Corruption Commission (NACC) and has worked with them to ensure their required solution was deployed, secure and live to meet the Commission’s tight timeframes.

It’s been such an exciting journey for the Kapish team since we first brought Content Manager Cloud to market in 2016 – I can’t believe it’s been seven years already!

The first CM Cloud tender I worked on was for Brisbane City Council, who were seeking a secure cloud platform to migrate from Records Manager 8. One of the key requirements was ISO27001 certification…..Content Manager Cloud delivered ✅.

Fast forward to 2020 and NSW Crown Solicitor’s Office came to market seeking a secure “as-a-Service” offering for Content Manager. One of the key requirements was compliance with the Australian Cyber Security Centre‘s Information Security Manual (ISM) for managing information at the PROTECTED level…..Content Manager Cloud delivered ✅.

The following year in 2021, Kapish signed a global reseller agreement with Micro Focus – now OpenText to bring Content Manager Cloud to Content Manager customers around the world. One of the key requirements was the ability to deploy Content Manager Cloud in over 100 countries to comply with data sovereignty…..Content Manager Cloud delivered ✅.

This most recent partnership with the National Anti-Corruption Commission (NACC) really highlights the maturity of the Content Manager Cloud offering. Officeworks wanted to be able to link its business strategy to current and planned technology in a holistic view, so sought LeanIX’s help to make this connection possible.

We didn’t have a Google Map of the technology landscape. We needed to get from point to point,” said Darren Yeo, Officeworks’ head of strategy, architecture and planning.

More than a year after Officeworks began its LeanIX implementation, Yeo says the tool is now “as fundamental as oxygen” to his team.

A holistic view

Officeworks needed to bring together a team of architects that typically specialise in different domains, such as marketing, data, ecommerce and back-end systems to collaborate. Each specialist had a siloed view of the company’s technology landscape, but digitisation meant these domains converged.

Furthermore, because the retailer’s technology estate had grown organically, there was limited understanding or appreciation for the complexity of Officeworks’ architecture. That limited the technology team’s ability to provide accurate roadmaps for the business. With around 30 mission-critical applications and a further 300 to 400 applications in use across the company, this was becoming an increasingly challenging environment.

Realising this was a solvable problem, Yeo selected LeanIX as the Officeworks’ enterprise architecture management application because of its user-friendly interface.

Start slow to go fast

Yeo decided to take a light-touch approach to the initial roll out of LeanIX. He focussed not just on the tool but also change management and communication to the architecture team and broader technology function.
His own team used the tool and set up the core applications within it. Kapish provided initial assistance with frameworks and best practices, but Yeo wanted his team to take ownership to ensure long-term maintenance could be managed internally.

“Officeworks did some heavy lifting for three to four months. Then we launched it to the rest of the architecture team for three months before gradually releasing it to other technology users,” Yeo said.

A campaign of road shows to champion integration with ServiceNow so that data could be shared between the applications saw broad uptake across the technology function.

Now, every time someone in the architecture team hears or reads something new about the Officeworks technology estate, they update LeanIX to keep it live. As Yeo says, “Data is king”.
This approach has borne a myriad of benefits for the entire organisation.

Risk management visibility

Officeworks now references the data in LeanIX in risk and compliance meetings to specifically discuss and plan end-of-life activities for the technology estate. Yeo’s team is embracing the transformational power of solution architecture, with LeanIX proving an essential tool in that change.

“We can now create a specific domain representation of business capabilities with an applicationview. It shows what we have, heatmaps, our problem children, and timelines for addressing them,” he said.

“I can see how we can go from red to green and when that needs to happen. And that makes it easier to work out how much it’ll cost.

LeanIX has also become a catalyst for conversations with business stakeholders because of the data it
reveals about the existing application landscape. The architecture team can now confidently have discussions about the current state and what needs to be done to support the company’s strategic goals.

A change in leadership and strategy meant Coles, one of Australia’s largest retailers, needed to take an equally significant change in its approach to enterprise architecture.
Historically, Coles had taken a very project-focused approach to technology using a range of implementation partners and methodologies. Although that met immediate needs, storing
solution architecture documents was inconsistent, which made it difficult to have an accurate and complete view of the technology estate. This made long-term planning and lifecycle management almost impossible, according to Daniel Nicholson, Coles’ Acting Head of Enterprise Architecture.

Huge technology footprint

The Coles technology team supports several business units and functions: corporate, Coles Supermarkets, Coles Express, Liquorland, Vintage Cellars, First Choice Liquor and supply chain, as well as customer, team and merchandising systems. The group has about 400 core applications and 1,500 smaller applications, ranging from microsites to complex spreadsheets.

“Across the Coles organisation there was no standard repository or process to collect and maintain
data about the applications we buy, build and rent, whether it be on premise or SaaS, and how they
integrate to each other,” Nicholson said.

The architecture team spent dozens of hours each month assembling reports from multiple sources for issues such as life cycle management, risk registers and domain maps.

“Typically, when projects start, they produce an ‘as-is’ and ‘to-be’ set of diagrams and integration registers, but they’re rarely updated to match the production
deployed state and are unlikely to be updated as the systems evolve over time. Additionally, the different businesses and departments across the Coles Group use different templates and storage mechanisms and there is no standard format or methodology,” Nicholson said.

Speaking a common language

A dedicated effort to define a business capability model that mapped every application to a business capability led Coles to LeanIX. This introduced a common language for the applications and illustrated
how they fit into the broader landscape in the group.
Implementing LeanIX was a relatively straightforward effort for Coles. It used the Jumpstart program from Kapish and started with adding the group’s most critical applications and tagging them appropriately.

LeanIX provided a holistic view across Coles’ complex technology estate. This enabled the Coles enterprise architecture team to:

  • Centrally store and manage data and metadata about applications, systems, integrations and their capabilities.
  • Create reporting, registers and diagrams to support ongoing and upcoming projects and programs of work.
  • Make informed decisions about risk, lifecycle management and capability.

Rapid results

It’s now quick and easy for the enterprise architecture team to identify which business functions an application supports. This has revealed opportunities to simplify, retire or invest in applications to provide better support to the broader group. LeanIX provides this detail in a live and dynamic dashboard.

Reporting on application attributes is the most frequently used feature of LeanIX at Coles. For example, architects can view all applications associated with a specific business capability. The dashboard provides fact sheets and architects can update information on the fly, too.

Coles is planning to integrate LeanIX with ServiceNow, which stores information about the group’s services, operating systems, middleware and databases. This will provide a lifecycle management view
across all applications, enabling the architecture team to proactively take a forward view on its lifecycle planning.
